About The Lead Collective

The Lead Collective is an accounting and bookkeeping agency built around a fractional model: rather than a client hiring a single in-house finance person, they get a team that manages their books, their financial workflows, and, as the business grows, acts as a fractional CFO. The firm takes an advisory-first approach, helping small and medium-sized businesses bring clarity and precision to their back-office financial operations.

That model is a natural fit for clients who need senior-level financial guidance without the overhead of a full-time hire. It's also ambitious to run well at scale: a fractional team isn't managing one set of books, it's managing dozens at once, each on its own cadence of deadlines, check-ins, and reporting cycles. As The Lead Collective's roster grew past 100 active client relationships across a team of accountants and bookkeepers, leadership, led by Luz Ortman, set out to make sure the firm's operating rhythm could scale right alongside its client base.

The opportunity

The Lead Collective's team already had strong onboarding and bookkeeping processes; what they wanted was a way to make that expertise consistently visible and accessible across the whole team as headcount and client count both grew. With more people managing more relationships, Luz wanted every team member working from the same shared picture of an account, not just the person who happened to own it, so the firm's advisory-first standard would hold steady no matter who a client was talking to that week.

"What we needed was for the same picture of a client to travel with them, no matter who on the team was talking to them that week. Noded gave us that shared source of truth: the last touchpoint, the open tasks, the account's temperature - all in one place instead of scattered across Slack and Sheets."

The approach

The Lead Collective rolled Noded out across the entire team as shared infrastructure for how the firm runs client relationships. Working closely with Noded's team, Luz and Karina shaped the setup around how the firm actually operates:

  • Structured, role-specific templates. The firm's onboarding and bookkeeping checklists were built into standardized templates with distinct workflows, so every new client gets the same high-quality setup experience, and the recurring bookkeeping cadence runs on its own consistent rhythm.
  • A shared record for every account. A "vitals" template captures the key details of each client relationship in one consistent place, so any team member can step into an account fully informed.
  • Proactive engagement rhythm. Automated agents surface which accounts are due for a check-in, helping the team keep its advisory-first cadence consistent across every relationship, even as the roster grows.
  • At-a-glance account prioritization. Client accounts are organized into tiers (key, growth, and base relationships) with simple visual status indicators, giving the team a quick, shared read on where to focus attention each day.
  • Connected communication. Email, calendar, and Slack activity stay synced to each client's record automatically.
"With a hundred-plus accounts across the team, sentiment tracking isn't a nice-to-have, it's how we make sure everyone's on the same page about which clients need attention right now, not after something's already gone wrong."

The result

The Lead Collective now runs client management as a coordinated team effort rather than a set of individual habits. Institutional knowledge about an account is shared and structured, not siloed with one person, so the firm's advisory-first standard travels with the client regardless of who's leading the relationship that day. Standardized onboarding and bookkeeping workflows mean new clients get the same polished experience every time, and a shared, proactive check-in rhythm helps the team stay ahead of client needs as the roster keeps growing.

For a fractional CFO practice built on being close to its clients, that combination, consistency at scale, without losing the personal relationship, is the whole point.

"Noded is how we scaled without turning into a different company. The advisory-first thing we're known for now travels with the client, not with whichever person happens to own the account."
