Fathom–HubSpot Integration Guide (2026)

Meeting engagements with instant re-sync, action items as tasks, and — on Business — property mapping and in-CRM meeting cards. The catches: external calls only, primary email only, forward-only.

TL;DR: Fathom’s HubSpot integration logs each external call as a Meeting engagement on matched records (with recording link and action items as tasks), re-syncs instantly when you edit a summary, and — on the Business plan — maps summary sections to deal properties and shows recent meetings inside HubSpot via Cards. Free and Team plans are capped at 3 HubSpot connections per user.

Of Fathom’s two CRM integrations, HubSpot got the better deal — it’s simpler than the Salesforce version and has a couple of features Salesforce doesn’t get. Verified against Fathom’s docs.

What it does

After an external call, the summary appears as a Meeting engagement on the matched contacts — and automatically on the account’s deals — with a “View Recording” link to the shareable Fathom page. Action items push as HubSpot tasks. Two nice touches: edits re-sync instantly (fix the summary in Fathom, HubSpot updates), and on Business, HubSpot Cards surface the last five related meetings right inside the record — plus Deal View maps summary headings onto deal properties you choose.

Setup and gates

Fathom Settings → Integrations → HubSpot → OAuth — and note you must be a HubSpot Admin to authorize. Plan-wise: Free and Team allow up to 3 HubSpot connections per user; Business ($25/user/mo annual) unlocks unlimited connections, org-level connection, Deal View property mapping, and Cards.

The edges

  • External calls only — internal meetings never sync (usually what you want; occasionally a surprise).
  • Primary-email matching only, and only events on your main calendar — sub-calendars and impromptu calls don’t sync.
  • Forward-only: after a disconnect/reconnect, missed calls must be re-synced one by one.
  • Calls sync “to all deals in your account” — multi-deal accounts get the same meeting on every open deal, which is either convenient or noisy depending on your pipeline hygiene.

The honest assessment

For an SMB sales team running HubSpot, this is one of the best recorder-CRM integrations in the category — if that’s you, connect it and enjoy. The limits show at the same seams as always: the deal-centric matching (renewals and CS conversations attach loosely or not at all), the primary-email assumption, and the fact that each meeting lands as an isolated engagement that nothing ever reads together. When your team starts asking account-level questions — “what have we promised Acme across the last quarter?” — the timeline can’t answer; it can only scroll.
