Zoom–HubSpot Integration Guide (2026)

Free to install on any plan — but recordings and transcripts only sync on Sales or Service Hub Enterprise, and AI Companion summaries don't sync at all.

TL;DR: HubSpot’s native Zoom app is free to install on any plan and handles meeting links, webinar sync, and activity logging. Cloud recordings and transcripts sync to contact timelines — but only on Sales Hub or Service Hub Enterprise. AI Companion summaries don’t sync at all, on any tier.

The Zoom–HubSpot integration is one of those pairings where the marketing pages and the plan tables tell different stories. Here’s the plan-table version, verified against HubSpot’s knowledge base.

What you get on every plan

Install the Zoom app from the HubSpot Marketplace (you’ll need HubSpot Super Admin and Zoom admin rights; each user then links their own Zoom account) and you get: Zoom links on HubSpot meeting and scheduling pages, meetings logged as activities, and webinar registration/attendance sync into Marketing Events — including adding registrants via workflows, if you have Zoom’s webinar add-on. One Zoom tenant per HubSpot account.

What’s gated to Enterprise

The genuinely valuable piece — cloud recordings and transcripts syncing to contact timelines — requires Sales Hub or Service Hub Enterprise, plus a Zoom account with cloud recording and audio transcripts enabled. On lower tiers, the calls happen, the recordings exist, and HubSpot never sees them.

What no tier gets: AI Companion summaries

Zoom’s AI summaries don’t sync to HubSpot on any plan. Users have been asking since January 2024 in HubSpot’s ideas forum, and the thread is still open. Zoom’s answer is its paid ZoomMate add-on, which has a HubSpot connector; the DIY answer is Zapier’s “New Meeting Summary” trigger (host-only) wired to a HubSpot note. Both work; both are per-seat or per-flow plumbing.

The quirks to know before enabling sync

  • Zoom Personal Meeting IDs aren’t supported.
  • HubSpot creates contact records for all meetings you host — even when only selected meetings sync. Expect timeline noise and some surprise contacts.
  • Recordings must remain in Zoom’s cloud to stay synced; past meetings need manual per-meeting sync.

The bigger pattern

Notice the shape of this integration: the activity metadata flows freely, and the content — what the customer actually said — is either Enterprise-gated or absent. That’s not a HubSpot quirk; it’s the recurring pattern across this category (Zoom–Salesforce has the same seam). The conversation is the most valuable customer data you generate, and it’s the last thing the native pipes carry.

Noded approaches it from the other side: Zoom meetings (along with Gong, Fathom, Fireflies, Granola — whichever recorders your teams use) flow into the Customer Context Graph, where they’re joined with HubSpot records, tickets, and email into one account story — without the Enterprise gate. HubSpot stays your CRM; Noded becomes the memory. What Noded doesn’t replace: the scheduling-links and webinar-sync features — keep the native app for those.
